Report Studio

Reports list

Report Studio's Reports list is the searchable, filterable home view where you find, sort, duplicate, and delete every report you have access to.

The Reports list is the home view of Report Studio. It displays all reports you have access to in a searchable, sortable table.

📌

If you are unable to see the Report Studio in the top navigation, verify that the user has the appropriate role and has been added to the correct user group. See Roles and access for more information.

The Reports list is the default view when you open Report Studio. Select Reports tab at the top of the page to return to it at any time.

Report visibility

User roles affect which reports are displayed in the Reports list.

Role
Visibility
System Admin
All reports, across all tenants
Tenant Admin
All reports, within the tenant
Admin
All reports
Designer
Reports where the source dashboard has been shared with them
ℹ️

If an Admin opens a report whose source dashboard has not been shared with them, Report Studio prompts them before opening the canvas.

The prompt explains that the source dashboard is not currently shared with them and gives them the option to grant themselves access. Confirming automatically shares the dashboard with them and opens the report. All widgets on the canvas render as expected once access has been granted.

Report list

The Reports table has five columns displayed in this order: Type, Name, Dashboard, Owner, and Last modified.

Column
Description
Name
Displays the report name and shows the report's content count.
Source Dashboard
Displays the name of the dashboard that was selected as the source when the report was created.
Last Modified
Displays when the report was last changed, and the user who made the change.

Search

Use the search input at the top of the table to find reports by Name or Dashboard. Search is case-insensitive and supports partial matches. If filters are active, search results are limited to the already-filtered set.

Sort

By default, the table loads the list of reports sorted by most recently created or modified first.

Clicking on either the Name or Last Modified column header will sort the table.

Use the sort dropdown to access additional sorting options: Most slides and Most elements

Only one column can be sorted at a time.

Filter

Ownership and Format filters allow users to narrow the table contents. Only one ownership and one format filter can be selected at a time, but they can be used in combination.

💡

Filters are retained when you navigate away from the Reports list. Opening a report canvas and returning to the Report list will clear all active filters.

Ownership filters let you narrow the table to reports based on ownership.

Filter
Description
All owners
Displays all reports you have access to, regardless of owner
Created by me
Displays reports you created
Shared with me
Displays reports that were not created by you, but that you have access to

Format filters let you narrow the table to a specific output type.

Filter
Description
All formats
Shows all reports regardless of format
PDF
Shows only PDF reports
PPTX
Shows only PPTX reports
XLSX
Shows only XLSX reports

Row actions

Hovering over a row reveals inline actions.

Notion image

Available actions depend on your role and whether you own the report.

Hover over a report row and click the duplicate icon. A copy of the report is created immediately and appears in the table.

Action
Sys Admin
Tenant Admin
Admin
Designer (report owner)
Designer (not report owner)
Duplicate

The duplicate is named [Name] (2). Subsequent duplicates of the same report follow the pattern [Name] (n+1). The duplicate's created date is set to the time of duplication, and ownership is assigned to the user who performed the action. The duplicate is fully independent and does not affect the original report.

Hover over a report row and click the delete icon. A confirmation toast appears near the bottom of the screen with an option to undo the deletion.

Action

🛑

Once the report is deleted (confirmation toast disappears), the action is final and cannot be undone.
