Schedules
Report Studio's Schedules list is the searchable, filterable home view where you monitor, run, and manage every automated report delivery you have access to.
Schedules is where you manage the automated delivery of your reports. It displays every schedule in a searchable, filterable table and lets you monitor delivery status, review run history, and take action on individual schedules. It is accessed from the Schedules icon in the left navigation toolbar.
As of 2026.08.04, scheduled reports are generated using the data security permissions of the schedule owner, not the report owner or recipient.
This differs from a manual report export from the Canvas, which applies the data security permissions of the report owner, as the currently logged-in user, regardless of who designed the report or who it will eventually be shared with.
A manual export and a scheduled send of the same report can return different data.
Enhanced data security capabilities will be available in a future release.
At this time, we recommend that you do not schedule reports that are intended to go out to individual users/groups requiring data security rules. Use schedules to distribute reports with data that is generally available to all users.
Table view
The table loads sorted by most recently created or modified first. Columns are sortable, one at a time, by clicking their headers. Each row can be expanded by clicking the arrow beside the checkbox, revealing additional detail without leaving the list (see Row detail below).
Column | Description |
Name | Displays the schedule name, along with a summary of how many reports and recipients it includes. If the schedule has a description, a preview of it appears beneath the name. |
Recurrence | Shows how often the schedule runs. Shows a dash if no recurrence is set. |
Delivery | A toggle showing whether the schedule is Active or Inactive. |
Next Run | The date and time the schedule is next due to run. Shows a dash if the schedule is inactive or has no upcoming run. |
Last Run | The date and time the schedule last ran, with a status indicator. |
Recipients | The number of individual users and recipient groups the schedule delivers to. |
Owner | The user who owns the schedule, with a relative timestamp for when it was last modified. |
Search
Use the search input at the top of the table to find schedules by Name. Search is case-insensitive and supports partial matches. If filters are active, search results are limited to the already-filtered set.
Filter
Several filters sit above the table and can be used in combination:

My schedules | Narrows the table to schedules you own |
Owner | Narrows the table to schedules belonging to a specific owner or shows all owners |
Active | Shows only schedules currently turned on |
Inactive | Shows only schedules currently turned off |
Errors | Shows only schedules whose last run failed |
Row detail
Expanding a row shows three panels of additional information
Column | Description |
Reports | Displays the report(s) included in the schedule, including each report's output format: PDF, PPTX, or XLSX |
Run History | The schedule's most recent runs, each with a timestamp and status indicator. |
Recipient Groups / Recipient Users | A list of the individual recipient groups and users the schedule delivers to. |
Row actions
Hovering over a row or its contents reveals inline actions. Available actions depend on your role and whether you own the schedule.
Rename schedule
Renaming a schedule updates its name everywhere the schedule name is referenced, including dynamic tokens in the email subject and body.
Change schedule status
Toggle the status between Inactive or Active.
Status | Behavior |
Active | When set to Active, the schedule will resume and run at the next scheduled date/time according to the recurrence definition. |
Inactive | When set to Inactive, the schedule will discontinue running and the recipients will no longer receive their scheduled reports. |
Run now
Hover over a schedule row and click the play icon. This triggers an immediate, out-of-cycle run of the schedule.
View job history
Hover over a schedule row and click the history icon. A modal will open, displaying the past jobs related to the schedule, including run start, status, duration, and recipients related to that job.
Duplicate
Hover over a schedule row and click the duplicate icon. A copy is created immediately and appears in the table. Duplicates include the original reports, recipients, and email subject/body. The original recurrence will be duplicated, with the start date as the current date. Duplicate schedules are always created in Inactive status regardless of the original's status.
Delete
Only the schedule owner and users in admin roles can delete a schedule.
Schedules in Active status cannot be deleted and must be set as Inactive first.
